PURPOSE OF THE ROLE:
- Deliver the highest possible level of assistance to key clients, General Manager, Operations Manager, and the Events Venue Find Team overall
- Foster stronger relationships across all areas of Reed & Mackay, sharing best in class market knowledge of venue find service
- Drive maximum revenue generation in all areas of Reed & Mackay Events while always ensuring significant return on investment to the client
PRINCIPLE RESPONSIBILITIES:
As a primary client liaison of the Events and Event Travel Departments, you will further the vision and goals of R&M by providing outstanding support across the US:
- Monitor team performance while providing direction, training, coaching, and motivation to deliver (and exceed) agreed targets
- Mentor, coach and develop the team to excel in terms of client satisfaction and delivery
- Proactively identify and manage any employee performance concerns, escalating to the Operations Manager where necessary
- Lead the recruitment, onboarding and training of new employees, fostering a positive, productive, and growth- oriented work environment
- Maintain and update the internal commission spreadsheet, liaising with finance for commission invoice numbers
- Support with the cross-checking and creation of basic invoicing across the client base
- Maintain costs savings and client managed fees database, ensuring accuracy and accessibility
- Process suppliers’ payments and ensure all systems are accurately updated with invoicing numbers for reconciliation
- Create and maintain PNR’s and WEX Cards as needed to support operational efficiency.
- Participate in internal meetings where required, taking meeting minutes and following up on any outstanding actions
- Collaborate closely with General Manager and/or Operations Manager on client requirements
- Identify and implement opportunities to add value to each event enquiry, existing and new business
SKILLS REQUIRED:
- Fast learner with the ability to quickly adapt to new systems and processes
- Excellent attention to details, with strong spelling, grammar skills and proofreading abilities
- Proficient in Microsoft Excel, Word, and PowerPoint skills
- Have a ‘team player’ attitude
- Strong interpersonal skills
- Quick-thinking and solutions focused, able to respond calmly and effectively under pressure
- Skilled in negotiation consistently securing positive outcomes for clients and stakeholders
- Proven ability to manage multiple tasks and competing deadlines with efficiency and accuracy
- Highly customer focused with excellent client facing skills
- Experienced in creating and maintaining PNRs for meetings and events to ensure accurate traveler tracking
- Solid understanding of core event administration and best practices
