Keeping travelers safe was paramount.<\/p>\n\n\n\n<p><strong>The Solution:<\/strong> Speedy action from Reed &amp; Mackay\u2019s dedicated travel consultants meant all travelers were able to fly out and return home safely.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img fetchpriority=\"high\" decoding=\"async\" width=\"1024\" height=\"806\" src=\"https:\/\/reedmackay.com\/wp-content\/uploads\/2024\/12\/case-study-1-1024x806.png\" alt=\"\" class=\"wp-image-66089\" title=\"Consultants help travellers get back to their destinations safely\" srcset=\"https:\/\/reedmackay.com\/wp-content\/uploads\/2024\/12\/case-study-1-1024x806.png 1024w, https:\/\/reedmackay.com\/wp-content\/uploads\/2024\/12\/case-study-1-300x236.png 300w, https:\/\/reedmackay.com\/wp-content\/uploads\/2024\/12\/case-study-1-768x604.png 768w, https:\/\/reedmackay.com\/wp-content\/uploads\/2024\/12\/case-study-1.png 1080w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Travel to an important board meeting on the southeast coast of the US, for the international C-suite of the client, had been arranged and booked several months before it was due to take place in September 2024.<\/p>\n\n\n\n<p>Reed &amp; Mackay Business Travel Consultant Kit Payne manages all the bookings for this VIP group throughout the year. She personally checks them all into their flights and monitors all departures, informing the travel bookers if there\u2019s even a 10-minute delay. Outbound travel to the board meeting had gone smoothly.<\/p>\n\n\n\n<p>\u201cHowever, on the Tuesday, as the travelers\u2019 return flight was approaching on the Friday, we started to hear about the rapid change in weather. And that a hurricane was coming in,\u201d Payne says. \u201cAfter communicating the update to the client, we decided to move everyone\u2019s flight from the original departure airport on the Friday. It would be too risky to fly from there. We immediately set about rebooking all of the flights and getting all the tickets reissued.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Managing complex travel situations<\/h2>\n\n\n\n<p>However, by the Wednesday, the weather situation was looked increasingly worrying. The client\u2019s travel bookers requested that everyone leave the US sooner than the original departure date. This was a complex request considering the number of other travelers looking to rebook and leave at the same time.<\/p>\n\n\n\n<p>Payne and her team researched options and, with few direct services from the US location back to the global destinations where the C-suite were based, the consultants recommended flying them out of the state. This was the first step to ensure they would be out of the hurricane\u2019s path.<\/p>\n\n\n\n<p>\u201cYet we had to wait on a decision from the client\u2019s chairman. He had to make that call. And, when it came in at 1pm on the Wednesday, it was all systems go,\u201d Payne explains.<\/p>\n\n\n\n<p>Understanding a client\u2019s travel policy inside out and having a strong working relationship with its travel bookers was integral to finding solutions for this complex travel situation.<\/p>\n\n\n\n<p>\u201cWe worked solidly until 10pm with the client\u2019s travel bookers to make sure everyone had a flight out of there,\u201d Payne says. \u201cWe also aimed to keep within the client\u2019s strict travel policy. This included ensuring the company\u2019s C-suite didn\u2019t all travel together on the same flight.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Constant communication<\/h2>\n\n\n\n<p>Perseverance and dedication from the Reed &amp; Mackay team meant everyone was rebooked on to new flights and checked in personally. While it sounds straightforward, Payne explains that all bookings are quality checked and communication with the client\u2019s travel bookers is constant, particularly in situations as challenging as these.<\/p>\n\n\n\n<p>\u201cWe had such positive feedback from the client\u2019s travel bookers and they were really grateful we were able to get everyone out safely,\u201d Payne adds.<\/p>\n\n\n\n<p>\u201cOur whole team was great. Everybody stayed on late to help out in this challenging situation. And, while you can\u2019t predict what\u2019s going to happen in travel sometimes, traveler safety is the priority. Yes, it was challenging to coordinate everything, but we learn a lot from these last-minute situations that we can apply if it happens again. It\u2019s about being there for the client and helping them get to where they need to be safely and securely.\u201d<\/p>\n\n\n\n<p>The client\u2019s PA to the Chair says: \u201cWith Hurricane Helene fast approaching and our required departure time looming, Kit and the team worked calmly, quickly and professionally to ensure we were all able to get away before the severe weather hit.
